Creating Events

Quick Create

  1. Click "Create Event" from your project dashboard
  2. Enter the event name, date/time, and location
  3. Add at least one ticket type
  4. Publish - Make live and share link!

Create Event — basic information form

Event Details

Required:

  • Event name
  • Start/end date & time
  • Location (or "Online")

Optional:

  • Cover image
  • Description
  • Category (Music, Sports, Conference, etc.)
  • Age restrictions
  • Capacity limit

Pro Tip: Add a great cover image and detailed description to increase sales!

Event Types

  • One specific date/time
  • Example: "Summer Festival 2026"
  • Repeats on schedule
  • Example: "Weekly Jazz Night - Every Friday"
  • Set: Start date, end date, recurrence pattern
  • Spans multiple days
  • Example: "Conference (July 15-17)"
  • Attendees can enter multiple days

Ticket Types

Creating Ticket Tiers

Common setups:

Basic Event:

  • General Admission - $25

Multi-Tier:

  • Early Bird - $20 (limited)
  • General - $30
  • VIP - $75

Free Event:

  • Free Ticket - $0 (manage capacity)

Ticket Settings

Pricing:

  • Set price per ticket
  • Add fees (passed to customer or absorbed)

Availability:

  • Sales start/end dates
  • Valid from/until (entry window)
  • Quantity limit

Advanced:

  • Min/max per order
  • Hidden (unlisted) tickets
  • Requires approval

Important: Once tickets are sold, you can't reduce the price. You can add new discounted tiers though!

Managing Sales

Monitor in Real-Time

Dashboard shows:

  • Tickets sold / remaining
  • Total revenue
  • Sales velocity
  • Recent orders

Attendee List

View who's coming:

  1. Go to Event → "Attendees"
  2. See all ticket holders
  3. Export to CSV
  4. Send group email

Handling Customer Issues

Refund a Ticket:

  1. Find ticket in "Sold Tickets"
  2. Click "..." menu
  3. Select "Refund"
  4. Confirm (automatic refund process)

Change Attendee Name:

  1. Find ticket
  2. Click "Edit"
  3. Update name/email
  4. Save (new ticket sent)

Team Management

Adding Staff

  1. Go to Project SettingsTeam
  2. Click "Invite Member"
  3. Enter email and select role
  4. They receive invitation email

Best Practices

  • Use Manager role for assistants
  • Give Staff role to door personnel
  • Limit Admin access
  • Remove team members after event

Financial Management

Understanding Fees

TIXFIN Fee Structure:

  • Base: 3% + $0.50 per ticket
  • Payment processing: ~2.9% + $0.30
  • Total: ~5.9% + $0.80 per ticket

Example:

  • Ticket Price: $50
  • TIXFIN Fee: $2.30
  • Payment Fee: $1.75
  • You receive: $45.95

Volume discounts available! Contact sales@tixfin.com for events with 1000+ tickets.

Payouts

Schedule:

  • Rolling 7-day payout
  • Funds from 7 days ago transferred today
  • Automatic to your bank account

Example:

  • Monday sales → Next Monday payout
  • Tuesday sales → Next Tuesday payout

View Payouts:

  1. Go to "Finances" → "Payouts"
  2. See pending and completed
  3. Export statements

Export Options:

  • CSV for Excel
  • PDF for printing

Event Day Preparation

Checklist (1 Week Before)

  • Test ticket purchase yourself
  • Set up staff scanners
  • Brief your team
  • Send reminder email to attendees
  • Prepare customer service area
  • Print backup attendee list

  • Staff arrives 1 hour early
  • Test all scanners

Responding to Questions

Fast responses = better reviews!

Common Questions:

  • Directions/parking → Add to event description
  • Refund policy → Clear in event details
  • Accessibility → Specify in venue info
  • What to bring → Send reminder email

Handling Refunds

Your Refund Policy:

  • Set in event settings
  • Can be: No refunds, 24h notice, any time, or case-by-case
  • Be clear upfront!

Processing:

  • Approved refunds take 5-10 business days
  • Customer notified automatically
  • You're charged back the fees

Before Event

Share ticket link everywhere:

  • Social media posts
  • Email newsletter
  • Website homepage
  • Partner promotion

Create urgency:

  • Early bird pricing
  • Limited quantities
  • Countdown posts

Use great visuals:

During Sales Period

Create promo codes:

  1. Go to Event → "Discounts"
  2. Create code
  3. Set % or $ discount
  4. Limit uses
  5. Share with target audience

Waitlist

When sold out:

  • Enable waitlist
  • Customers can join
  • Email if tickets released
  • Manual invitation system

Troubleshooting

Low Ticket Sales

Checklist:

  • Is price competitive?
  • Is description clear and exciting?
  • Good cover image?
  • Shared on all channels?
  • Event date/time convenient?
  • Consider early bird discount

Technical Issues

Can't publish event:
